I already pay a managing agent. Is this saying they are bad at their job?

No. A good agent is running dozens of buildings and reports on exceptions. This reads everything they send you and asks about the things that did not make the exception list — usually because they were small. Owners who use it tend to have better conversations with their agent, not fewer.

Does it need access to the agent's system?

No, and that is the point. It works from what already reaches you: the statements in your inbox, the PDFs in your drive, the spreadsheet you keep. If your agent gives you a portal login you can connect that too, but nothing here depends on it.
