Hands

The document chaser

An AI assistant that chases people for the documents they owe

Chases people for what they have not sent. Keeps the list of what is outstanding, asks again on a sensible interval, and stops asking the moment it arrives.

What you'd say

Which subcontractors still have not sent their insurance certificates?

When it runs

Runs every few days.

What it uses

Gmail

Wants your mail.

Where it stops and asks

Before each reminder goes out, and the moment a document arrives it stops asking. It keeps the list; you set the tone.

How it goes

The running order.

Every step lands in the record with a time and a source, so you can read what it did instead of asking.

  1. Keep the outstanding list
  2. Ask again on an interval
  3. Stop the moment it arrives

Questions

The ones that come up first.

How does it know what is outstanding?

You tell it once, or it reads the checklist: certificates, statements, signed forms, whatever the job needs. It keeps the list per person in the record and ticks things off as they arrive in your mail.

Will it nag people?

It asks again on an interval you set, with the tone matched to how late it is, and every message is approved by you until you turn the dial down for the routine ones.

Can it read what comes back?

It notices the attachment, checks it is the thing that was asked for, files it, and stops asking. If the wrong thing arrives it says so.
